Project Coordinator

Civil Design Advantage (CDA) is accepting applications for a full-time Project Coordinator. CDA is looking for a self-motivated, highly organized, and ambitious professional to play a key role in land development project delivery. Candidate will work directly with project managers and design team members in a fast-paced, high-culture environment, providing direct-value administrative and support services for projects across the state of Iowa and within the Midwest, including a wide variety of public and private land development projects.

Responsibilities

  • Master Project Tracking for status, invoicing, client deadlines and scheduling.
  • Coordinate with clients and consultants for timely invoicing.
  • Assist with the creation of proposals, from request for proposal to final submission.
  • Attend client meetings for project coordination. Write effective meeting minutes.
  • Assist with permit document preparation, permit submission, and coordination with Authorities Having Jurisdiction.
  • Coordinate assembly and issuance of drawings and specifications with design team.
  • Prepare and assemble documentation to be issued to other parties.
  • Assist Project Managers in monitoring project spend.
  • Assist with creating and processing change orders.
  • Assist design team with data entry and file management.
  • Update and manage various logs.
  • Coordinate workflow in between manager and design team.
  • Perform various design team administrative tasks.
  • Update and follow up delegated tasks to ensure progress to meet deadlines.
  • Coordinate with clients and other consultants to ensure accurate information flow and contract invoicing.
  • Creation of new templates in order to facilitate more efficient processes.
  • Assist with processing of invoices, lien waivers, and expense reports.
  • Arrange travel for senior management.
  • Interface with various levels of clients and consultants.
  • Other duties as assigned by project manager.

Qualifications

  • Associate’s Degree in Business Administration, Office Administration, or similar preferred.
  • Proficiency with Microsoft Office is required.
  • Experience with MS Project is an asset.
  • Industry experience is an asset.
  • Strong organizational skills, with high level of attention to detail and ability to multi-task.
  • Self-motivated, enjoys challenges, learning new things, and demonstrates reliability and professionalism.
  • Problem solver with a sense of initiative & strength in collaboration.
  • Excellent verbal and written communication skills.
  • Organized proactive, self-starter, able to work with minimum supervision.
  • Customer service driven.
